Edit Asset

The Edit Asset Details page allows you to modify the information stored for an existing asset. bbb

If you have the appropriate security rights, you can click any of the following links:

  • Copy Asset – Clicking this link opens the Create Asset page, copying all of this asset's information so that you can create a similar asset. If the new asset will be at the same property as the original asset, you must change the asset number.

  • Create Request – Clicking this link opens the Create Request page so that you can create a new work request and associate this asset with the request

  • View Asset – Clicking this link opens the Asset Details page allowing you to view the asset general information, create schedules, add documents, or establish parent/child relationships between assets.

  • Delete Asset – Clicking this link deletes an asset. The system will not allow you to delete an asset that is in use, for example associated with a work request or schedule or established as a child of another asset.

To edit an asset:

  1. Access the Asset module by clicking the Asset Link.

  2. Locate the asset using the Find Asset tab.

  3. Open the asset in the Asset Details page.

  4. Click the Edit Asset link.

  5. Modify any of the following general information fields.

    1. Asset Name – the name of the asset

    2. Asset Number – the assigned asset number; you cannot modify the asset number if it was generated by the system

    3. Serial Number – the serial number assigned to the asset

    4. Asset Class – the classification of the asset

    5. Asset Rank – the rank of the asset indicating its relative importance

    6. Healthcare Functionality Only – the following fields may be included if Healthcare functionality is enabled

      • ECRI Code – the Emergency Care Research Institute code for the asset
      • Risk Assessment – a value indicating the general level of risk associated with the failure of this asset
      • Ext. Cost Center – the external cost center associated with the asset
    7. Manufacturer – the name of the company that manufactured the asset

    8. Model – the manufacturer's model number for the asset

    9. In Service Date – the date the asset was placed in service

    10. Vendor – the name of the vendor who supplies this asset

    11. Asset Status – the status of the asset which usually indicates whether it is in service

    12. Status Comments – any comments associated with the asset's status

    13. Barcode Number – the bar code ID associated with the asset

    14. Financial System ID – the asset identification number used with the financial system

    15. Asset Type – the type or category associated with the asset

    16. Asset Keyword – the keyword associated with the asset

    17. Asset Description – a description of the asset

    18. Asset Safety Comment – any safety comments associated with the asset

  6. In the Asset Class Details pane, modify values.

    The fields in this pane are custom fields that will vary based on the asset class selected.

  7. In the Location Information pane, modify any of the following values.

    1. Property – the property where the asset is located

    2. Location – one or more values indicating the Tower/Wing, Floor, Space, and Sub-Space within the property where the asset is located

    3. Employee – the name of the employee the asset is assigned to; most often, only certain types of assets (like computers or telecom equipment) are assigned to employees

    4. Room/Area – any room or area within the space, within the property where he asset is located

    5. (Healthcare Functionality Only) Auto-Assign To – the name of the user to whom work requests involving this asset are automatically assigned

    6. Latitude, Longitude, and Altitude - geolocation values that pinpoint the location of the asset (displayed only if the GIS (Geographic Information System) feature is enabled)

    7. Quantity Available – the number of assets, used only if this asset represents a group of assets that do not need to be tracked individually, for example, fire extinguishers

    8. Asset Comments – any comments associated with the asset

    9. Status – indicates whether the asset is Active or Inactive

  8. In the Warranty Information pane, modify any of the following values.

    1. Warranty Contract # – the number associated with the asset's warranty contract

    2. Warranty Effective Date – the beginning date for the asset's warranty

    3. Warranty Expiration Date – the ending date for the asset's warranty

    4. Expiration Contact – the name of the person to contact when the warranty expires

    5. Expir Contact Phone – the phone number of the person to contact when the warranty expires

    6. Maint. Contract # – a number associated with the asset's maintenance/service contract

    7. Maintenance Vendor – the name of the company the maintenance/service contract is with

    8. Contract Exp. Date – the date on which the maintenance/service contract expires

    9. # of Days Notif Exp. – the number of days before the expiration of the maintenance/service contract you have to request a change to the contract

  9. In the Purchase Information pane, modify any of the following values.

    1. Purchase Date – the date on which the asset was purchased

    2. Purchase Amount – the purchase price of the asset

    3. Cost Center – any cost center required by the accounting system

    4. Purchase Order # – the number of the purchase order issued when this asset was purchased

    5. Estimated Life (yrs) – the expected number of years this asset will be in use

    6. Estimated Life (hrs) – the expected useful life of the asset based on hours of use

    7. Annual Runtime (hrs) – the expected annual usage of the asset based on hours in service

    8. Capital Repair Cost – a value indicating the repair cost of the asset as a capital expenditure

    9. Est. Replacement Cost – the cost to replace the asset

    10. Life Expectancy (Date) – the date when the asset's useful life will come to an end

  10. Click UPDATE to save your changes.
